Accordance Privacy Policy

This Privacy Policy describes how Accordance Inc. ("Accordance") collects, uses and discloses information, and what choices you have with respect to the information.
1. Scope of this Privacy Policy
This Privacy Policy applies to Accordance's product and services, including applicable mobile and desktop applications (collectively, the "Services"), Accordance.com and other Accordance websites (collectively, the "Websites") and other interactions (e.g., customer service inquiries, training sessions, etc.) you may have with Accordance. If you do not agree with the terms, do not access or use the Services, Websites, or any other aspect of Accordance's business.
This Privacy Policy does not apply to any third-party applications or software that integrate with the Services through the Accordance platform ("Third-Party Services"), or any other third-party products, services or businesses. In addition, a separate agreement governs delivery, access, and use of the Services (the "MSA"), including the processing of any accounting data, financial records, or other information submitted through the Services ("Service Data"). The organization (e.g., your employer or another entity or person) that agreed to the MSA ("Customer") controls its instance of the Services and any associated Service Data (the "Customer Instance").
2. Information Accordance Collects and Receives
Accordance may collect, generate, and receive Service Data and other information and data ("Other Information"; Service Data and Other Information collectively "Information") in a variety of ways:
Service Data. Customers and individuals granted access to a Customer Instance by a Customer ("Authorized Users") may submit Service Data to Accordance when using the Services. This may include financial records, accounting data, transaction information, and other business-related data processed by our AI assistant.
Usage Information:
Account information. To create or update an Accordance account, you or a Customer (e.g., your employer) supply Accordance with an email address, phone number, password, domain and/similar account details. In addition, Customers that purchase a paid version of the Services provide Accordance (or its payment processors) with billing details such as credit card information, banking information and/or a billing address.
Services metadata. When an Authorized User interacts with the Services, metadata is generated that provides additional context about the way Authorized Users interact with the Services and our AI assistant. For example, Accordance logs the queries made to the AI assistant, responses generated, and any Third Party Services that are connected with the Services.
Log data. As with most technology services delivered over the Internet, our servers automatically collect information when you access or use our Websites or Services and record it in log files. This log data may include the Internet Protocol (IP) address, browser type and settings, the date and time the Services were used, information about browser configuration and plugins, language preferences and cookie data.
Third-Party Services. A Customer can connect Third-Party Services (such as accounting software, financial platforms, or other business tools) to its Customer Instance. When enabled, the provider of a Third-Party Service may share certain information with Accordance. Accordance does not receive or store passwords for any of these Third-Party Services.
Contact Information. An Authorized User is required to provide some contact information (e.g., an email address) when making an account on the Services.
Additional Information. Accordance receives Other Information when submitted to our Websites or in other ways, such as if request support, or otherwise communicate with Accordance.
3. How Accordance Uses Information
Service Data will be used by Accordance in accordance with Customer's instructions, including any applicable terms in the MSA and Customer's use of Services functionality, and as required by applicable law. Accordance is a processor of Service Data and Customer is the controller.
Accordance uses Information for the following purposes:
• To provide, update, maintain and protect our Services, Websites and business
• To develop new features and Services
• To communicate with users about Service updates and support requests
• For billing, account management and other administrative matters
• To investigate and help prevent security issues and abuse
4. Data Retention
Accordance will retain Service Data in accordance with the Customer's instructions, including any applicable terms in the MSA, and as required by applicable law.
5. How Accordance Shares and Discloses Information
This section describes how Accordance may share and disclose Information:
Operating the Services. Because of the nature and functionality of the Services, certain Information will be displayed within the Services to Authorized Users in a Customer Instance.

Third-party service providers and partners. Accordance may engage third parties as service providers or business partners to process Information and support our business. These third parties may, for example, provide virtual computing and storage services, or help enhance our AI capabilities.

Third-Party Services. Customer may enable or permit Authorized Users to enable Third-Party Services (such as single sign-on). When enabled, Accordance may share Information with these Third-Party Services as requested by Customer.

During a change to Accordance's business. If Accordance engages in a merger, acquisition, bankruptcy, dissolution, reorganization, sale of some or all of Accordance's assets or stock, financing, public offering of securities, acquisition of all or a portion of our business, or similar transaction or proceeding, some or all Information may be shared or transferred, subject to standard confidentiality arrangements.

To Comply with Laws. If Accordance receives a request from law enforcement or a government agency for Information about a Customer, we will attempt to redirect the agency to request the data directly from the Customer. We will only disclose Information when required by law, and will notify the Customer unless legally prohibited from doing so.
6. Security
Security is fundamental to Accordance's mission, particularly given the sensitive nature of financial and accounting data. Accordance implements industry-standard technical and organizational measures to protect Information from loss, misuse, and unauthorized access or disclosure. These steps take into account:
• The sensitivity of financial and accounting data
• The secure processing requirements for AI systems
• Industry best practices for data protection
• Current state of technology
• Implementation costs
Our security measures include:
• End-to-end encryption of sensitive data
• Regular security audits and penetration testing
• AI system monitoring and verification
• Access controls and authentication requirements
• Employee security training
• Incident response procedures
7. Changes to This Privacy Policy
Accordance may change this Privacy Policy from time to time. Laws, regulations, and industry standards evolve, which may make those changes necessary, or we may make changes to our services or business. We will post the changes to this page and encourage you to review our Privacy Policy to stay informed. If we make changes that materially alter your privacy rights, we will provide additional notice, such as via email or through the Services.
